Objectives of the Bookkeeper’s Engagement:

Maintain the financial records of the Client by accurately recording the day to day financial transactions of the Client and create financial reports from that information.

Services available are:

Accounts Payable

  • Process supplier invoices via My Bookkeepers Online services.

  • Record supplier invoices and payments.

  • Code and Check correct coding of all supplier invoices to appropriate accounts.

  • Collate supplier invoices into weekly and monthly payment runs.

  • Entering and verifying the entry of supplier invoices into accounting software.

  • Email any queries related to the supplier accounts for the period.


Accounts Receivable

  • Record all sales via My Bookkeepers Online services.

  • Issue statements to clients with customers outstanding balances on a monthly basis.

  • Code invoice to appropriate accounts when invoice release is authorised.

  • Process all customer payments received.

  • Record customer payments.

  • Enter and verify the entry of customer invoices into accounting software.

  • Email any queries related to the accounts for the period.


Credit Control

  • Account management and credit control.

  • Monthly debtor reports.

  • Monthly aged debtor report.

  • Document credit control in a manner that can be readily accessed and viewed by the Client.


Cash Transactions

  • Record petty cash vouchers, coding to appropriate accounts through My Bookkeepers Online service.


  • Enter and verify the entry of payments and receipts from bank.

  • Process bank receipts and payments using automatic bank feeds.

  • Generate monthly reports for all bank accounts.



  • Reconcile and/or verify all loan accounts.

  • Reconcile balances with the bank statements using automatic bank feed.

  • Reconcile all Credit card accounts.

  • Paypal account reconciliation.

  • Conduct periodic reconciliations of all other accounts to ensure their accuracy.


Journals and ledgers

Post to and maintain the following:

  • Purchase and sales ledgers.

  • Nominal ledger.

  • General ledger.



Prepare and process:

  • Payroll.

  • Provide wage slips.

  • Summary of PAYE, NI & CIS payments to be made to HMRC weekly or monthly.

  • Administer new staff with NI and CIS checks, process P45's for those leaving.

  • Year End CIS Statements.

  • Year-end statutory returns & End of Year filing.

  • P60's.

  • Pension enrolment and contributions.

  • CIS.

  • Process expenses and mileage claims.

  • Maintain accurate, well- organised and up to date payroll computer records in line with Client’s financial procedures policy.


Management Reports

Prepare and report to Client the following on a monthly basis:

  • Outstanding debtors report.

  • Outstanding creditors report.

  • Payables report.

  • Aged creditors report.

  • Aged debtors report.

  • Trial Balance.

  • Profit and loss account.

  • Balance sheet.


Other Services available 

  • New Company set up

  • Negotiate payment plans with creditors and historical debts

  • Liaise with HMRC and bring all filing up to date

  • Personalise cash flow forecasts

  • Consult on Business performance and operations

  • Provide training on accounting software
